Privacy policy
We collect what we need to run your audit and talk to you about it. We count visits with Google Analytics only if you allow it in the cookie banner, and the site works the same if you say no. We never collect information about your clients, we don't sell anything to anyone, and you can ask us to delete what we hold at any time.

Who we are
Couch Creatives is a three-person marketing team for therapy and counselling practices, based in Davao City, Philippines. We are the controller of the personal data described in this policy. For anything in it, email hello@couchcreatives.com.
We do not collect client health information
Nothing on this site asks for, stores or sends information about your clients. The audit is about your practice as a business: your website, your team size, your marketing. Please don't include client details in the free-text answer. If you do, we delete them rather than keep them.
If we later work together and any of that work would involve personal data you are responsible for, we agree a written data processing agreement with you first. It is never handled through this website.
What we collect
When you request a free practice audit, you give us:
- Your name and email address, so we can send you a confirmation and then the breakdown
- Your practice name and town, and your website if you give it, so we can look at your practice
- Your answers to the seven questions: number of clinicians, empty capacity, where clients come from, which pieces of marketing you have, the time you spend on it and what you spend each month
- Optionally, anything you'd never want your marketing to do
- The page you submitted from and the time you submitted
When you ask for one of our free resources (a checklist or a guide), you give us your email address and, if you choose, your first name and practice name, plus the page and time of the request. We send you one email with the link, and nothing else unless you ask.
When you visit, and only if you press Allow in the cookie banner, Google Analytics records the pages you view, how you arrived (a search, a link, typing the address), your device and browser type, your screen size, your approximate location (country and city, worked out from your IP address) and how long you stay, tied to a random ID stored in a cookie. It doesn't record your name, email address or anything you type into a form. If you say no, or ignore the banner, nothing is recorded. There are no tracking pixels and no advertising tags either way.
Why we use it, and our lawful basis
| What we do | Lawful basis (UK GDPR) |
|---|---|
| Write and send your audit, and follow up about it | Steps you asked us to take before a possible contract, and our legitimate interest in replying to a request you made |
| Send the resource you asked for, and any emails you ask for later | Your consent, which you can withdraw at any time by replying to any email from us |
| Do paid work and keep business records | Our contract with you, and our legal obligations (tax and accounting) |
| Count visits and see which pages are useful, if you allow it | Your consent, which you can withdraw at any time from Cookie settings at the bottom of any page |
| Keep this site running and secure | Our legitimate interest in a working, secure website |
We do not sell your information, rent it, or share it for anyone else's advertising. We make no decisions about you by automated means alone. The on-screen audit result is worked out from your answers, but a person reads every submission and writes the breakdown.
Who else sees it
Only the providers we need to operate: Resend, which sends the audit emails (yours and ours) and the resources you ask for, and Hostinger, which hosts this website and keeps a copy of each request on its servers. If you allow analytics, Google receives the visit details listed above to run Google Analytics for us. We have switched off its advertising features and Google signals, so your visit is not linked to a Google account or used for ads, and Google says Analytics doesn't store IP addresses. They process it on our instructions and may not use it for their own purposes. We may also disclose information where the law requires it.
Two things happen because this is a website. Our host keeps standard server logs, which include your IP address and browser. And the typefaces are served by Google Fonts, so loading a page tells Google your IP address and browser. We don't read or use either to identify you.
Where your data goes
We work from the Philippines, and some of our providers are based in the United States, so your details are processed outside the UK. Where they are, we rely on a recognised safeguard: the UK International Data Transfer Agreement (IDTA) or Addendum, or, for US providers certified under it, the UK Extension to the EU–US Data Privacy Framework. Ask us and we'll tell you which applies.
How long we keep it
- Audit requests, including the copy on our web host's server: up to 24 months from your last contact with us, then deleted
- One-way hashes of your IP address and email address, used only to limit repeat submissions: up to two days
- Email subscribers: until you unsubscribe, then removed within 30 days
- Client records: for the engagement and up to 7 years after, where tax and contract law requires it
- Analytics, if you allowed them: the visit-level records are kept by Google for 2 months, after which only totals remain (how many visits a page had, with nothing that points to you)
- A submission we couldn't deliver stays in your own browser, not with us, until you clear your site data
Your rights
Under UK data protection law you can ask us to:
- Tell you what we hold about you and give you a copy
- Correct anything that's wrong
- Delete it
- Restrict how we use it, or object to our using it
- Send it to you, or to someone else, in a usable format
- Stop emailing you, and withdraw any consent you gave
Email hello@couchcreatives.com. We reply within one month, and you don't need to give a reason. If you're unhappy with how we've handled your data, you can complain to the Information Commissioner's Office at ico.org.uk.
If a submission can't be delivered
If the form can't reach us, we won't pretend it worked. Your answers are kept on your own device, in your browser's storage, and the page offers you a pre-filled email to hello@couchcreatives.com so the request isn't lost. Those answers never leave your device on their own: we can't see them, and nothing uploads them later. Only the 50 most recent are kept, until you clear this site's data.
Security
We use reputable providers, limit access to the three of us, and don't keep what we don't need. No system is perfectly secure. If a breach affected your information, we would report it to the ICO where the law requires it, and tell you directly and promptly.
Children
This site is for practice owners and clinicians. It isn't aimed at anyone under 18, and we don't knowingly collect their information.
Changes
If we change this policy, we'll update the date at the top. If a change is significant and we hold your email, we'll tell you rather than quietly editing the page.
